Graduate Studies Committee

Committee Responsibilities:

Reviewing and developing postgraduate study programs' plans within the department.

Conducting admission tests for applicants to postgraduate studies within the department and nominating those proposed for acceptance to the department council.

Determining the comprehensive exam mechanism for postgraduate students.

Updating admission criteria required by the department for postgraduate studies.

Providing academic guidance to postgraduate students.

Reviewing student requests regarding additional opportunities, re-registration, etc., and submitting them to the department council.

Studying proposals for master's and doctoral theses and submitting them to the department council.

Determining the mechanism for approving research proposals for doctoral theses and submitting them to the department council.

Proposing the number of students that can be accepted in the coming years.

Proposing available research plans for postgraduate students and presenting them to the department council.

Suggesting available paths for admission to the doctoral stage annually.

Proposing the distribution of courses among department faculty members.

Recommending the appointment of the academic supervisor (internal or external) or changing them for male and female students.

Preparing booklets and forms for postgraduate students and faculty members, updating them periodically.

Providing training courses and workshops for postgraduate study programs.

Communicating with donors within or outside the university.

Responding to all inquiries related to the postgraduate program.

Planning to introduce additional programs and tracks for postgraduate stages that align with modern developments in the field and the requirements of the job market.

 

Research Committee

Committee Responsibilities:

Develop an annual research plan for the department and monitor its implementation.

Encourage faculty members and other researchers to conduct innovative research and present it at local, regional, and international conferences.

Promote collaboration among faculty members and other researchers for joint research projects across departments, colleges, and external entities.

Communicate with funding agencies for scientific research and inform faculty members to facilitate research collaboration.

Form research groups within the department in various specialties.

Establish a database for researchers and research activities within the department.

Prepare and organize seminars and scientific meetings in coordination with the Community Service and Continuing Education Committee.

Conduct workshops on scientific research, publication methods, and documentation.

Explore the possibility of establishing a periodic journal in the field of specialization, in collaboration with other entities such as scientific associations.

Prepare the annual report on research activities and submit it to the department council.

 

Curriculum Planning Committee

Committee Responsibilities:

Surveying similar curricula and study programs selected as references from universities or colleges in building departmental study programs according to the survey process.

Reviewing the current vision, mission, and objectives of the program, proposing modifications in light of current program variables, and presenting them to the department council for approval or modification.

Identifying the courses for the study program, service courses, and distributing them among committee members for description.

Reviewing course descriptions, objectives, syllabi, references, as well as outcomes, and determining their compatibility with the learning outcomes of the study program.

Distributing courses (university requirements, college requirements, specialization, graduation project if applicable, field training if applicable, elective courses) at different academic levels.

Presenting the study program to the department council for review and proposing modifications if necessary. If there are modifications, the department council reviews them, provided that the modifications do not conflict with the standards and regulations of the National Qualifications Framework.

Recommending the nomination of assessors or entities for evaluating the study program.

Discussing proposals and opinions from the assessors. If the department council accepts them, the study program is sent back to the committee for amendments. If the committee does not accept them or accepts some of them, the committee must provide justifications to the department council.

Submitting the study program to the college's curriculum committee to ensure its compliance with the standards and regulations of the National Qualifications Framework. If there are comments or suggestions, it is sent back to the department.

Studying the comments and suggestions received from the college's curriculum committee, making amendments to the study program, and, in case of non-acceptance or partial acceptance, the committee must provide justifications and explanations to the college's curriculum committee for presentation to the college council.

The committee chair (program director) presents the program to the college council for discussion and recommendation to the university's permanent committee for curricula and academic systems. If it is not recommended for approval, it is returned to the department with a list of comments and suggestions from the college council.

 

Development and Quality Committee

Committee Responsibilities:

Promoting a culture of quality in the department.

Implementing and monitoring activities related to assessment and academic accreditation in the department.

Proposing goals or learning outcomes for the department's programs, as well as suggesting methods or means to achieve these goals or different assessment methods to measure the outcomes or achievement of these goals.

Supervising the preparation and organization of course files.

Preparing and organizing departmental brochures, guides, introductory leaflets about the department, job opportunities, and study plans.

Hosting external accreditation bodies and quality committees from within the university.

Supervising the self-assessment process for various departmental programs and preparing self-study reports for academic programs.

Collaborating with the college's development and quality unit to promote a culture of quality and academic accreditation, organizing educational lectures, workshops, quality and academic accreditation week, and attending these events.

Documenting efforts and results of academic accreditation procedures in the department and submitting them to the department head.

Collecting data and information continuously about the requirements of academic accreditation and quality activities and implementing them in the department.

Preparing periodic reports on performance levels in the department and the satisfaction of beneficiaries in each activity.

Holding regular meetings to discuss the implementation of academic program accreditation requirements.

Performing other tasks assigned by the committee related to academic accreditation and quality activities and their implementation.

 

Statistics and Information Technology Committee

Committee Responsibilities:

Analyzing all five surveys conducted by the National Commission for Academic Accreditation and Assessment in coordination with the Development and Quality Committee.

Calculating performance indicators related to the national academic accreditation standards for departmental programs.

Compiling and updating data related to various scientific program activities (Bachelor's, Master's, Ph.D.) in coordination with other committees. This includes the number of enrolled and withdrawn students, graduates, academic opportunities, counseling sessions, student councils, lectures, exams, proposed courses, and scientific thesis discussions.

Compiling the scientific works of each faculty member, including books authored, research projects, scientific research, and attendance at seminars or conferences inside or outside the kingdom in previous years.

Compiling the scientific activities of the department, including seminars, conferences, lectures, training courses, scientific consultations, research services, and cultural, social, and awareness activities conducted in service to the community.

Compiling awards and patents obtained by faculty members or students in the department.

Analyzing data on performance levels in the department and the satisfaction of beneficiaries in each activity, in coordination with the Development and Quality Committee.

 

Timetables and Examinations Committee

Committee Responsibilities:

Preparing timetables for undergraduate and master's program students in the department.

Preparing teaching load schedules for faculty members, lecturers, teaching assistants, and office hours.

Distributing proposed courses to college classrooms and optimizing the use of rooms assigned to the department.

Auditing the suitability of the number of students in a class section with the registered capacity of the room.

Ensuring the availability of classroom essentials (Data Show) for the teaching rooms.

Monitoring the distribution of timetables to students and recording the addition or removal of courses for departmental students.

Submitting the teaching load to the college's academic affairs and educational deputy dean each semester.

Coordinating with college departments regarding proposed courses in the bachelor's and master's programs.

Preparing final examination schedules for the department.

Allocating rooms and invigilators in the final examination schedule for the department.

Monitoring the progress of final exams in the department.

Updating the timetable and final examination committee file periodically to match the department's needs.

 

Academic Guidance Committee

Committee Responsibilities:

Developing and updating an annual plan for the student guidance program.

Guiding and advising department students regarding course selection and necessary skills.

Monitoring Summer System requests in the first weeks designated for registration each semester.

Raising awareness among students about support services and activities provided by the college.

Receiving student complaints and suggestions, responding to them, and finding suitable solutions.

Course equivalency for students in coordination with the Curriculum Planning Committee.

Providing psychological and social assistance to students in collaboration with the college's academic guidance unit.

Holding meetings with struggling students to examine the reasons for their academic difficulties and providing academic and psychological guidance.

Developing reinforcement programs to help students avoid academic setbacks.

Coordinating with faculty members to identify talented and creative students and develop their skills.

Planning an orientation week for incoming undergraduate students.

Establishing advisory student councils in coordination with the department's deputy dean or head each semester.

Participating in the introductory week for high school students to learn about university majors.

Monitoring the distribution of timetables to students and recording the addition or removal of courses for departmental students.

Compiling a periodic report on academic guidance activities, cases assisted, and the distribution of students among academic advisors in the department.

 

Clinical Training, Internship, and Graduates Affairs Committee

Committee Responsibilities:

Distributing internship students to training sites.

Communicating with training centers and corresponding within a sufficient time frame.

Supervising the training during the internship period.

Maintaining a database for graduates, including names, phone numbers, and email addresses.

Distributing graduation-related forms to expected graduates and ensuring students have all required documents.

Disseminating information to expected graduates at the beginning of each semester regarding the procedures and required forms for internships.

Coordinating with training institutions regarding interviews and admission exams if applicable.

Approving evaluations sent by training institutions so that students can receive their internship certificates.

Compiling periodic reports on struggling internship students and submitting them to the department's dean/chair.

Organizing joint training programs between the department and research centers during the summer period.

 

Appointments, Teaching Assistants, and Lecturers Committee

Committee Responsibilities:

Studying the department's faculty needs and making recommendations to the department chair.

Reviewing appointments of new faculty members by studying their applications, conducting interviews, and submitting recommendations to the department council.

Examining the appointments of teaching assistants, lecturers, researchers, and research assistants and conducting appropriate recruitment tests, submitting recommendations to the department council.

Reviewing scholarship requests for teaching assistants and lecturers, ensuring the programs align with the department's policies, verifying the validity of acceptance documents, and other required documents.

Monitoring department students on scholarships within the country and abroad, preparing periodic reports on their academic status, and submitting them to the department council.

Studying topics related to the committee referred by the department chair and the department council.

 

Community Service and Continuing Education Committee

Committee Responsibilities:

Proposing the annual community service plan and presenting it to the department council.

Activating partnerships between the department and various community institutions.

Communicating with community institutions inside and outside the university concerned with departmental services.

Encouraging faculty members to participate in community service activities.

Establishing a database for community service activities in the department.

Preparing the annual report for community service activities and submitting it to the department council.

 

Laboratories and Laboratory Safety Committee

Committee Responsibilities:

Enforcing regulations, procedures, safety levels, environmental standards, and infection control standards in the laboratory.

Inventorying materials, devices, and equipment in various labs, organizing their placement, and regularly maintaining them.

Ensuring the availability of lab and equipment maintenance plans.

Providing instructional signage and safety tools in labs.

Preparing laboratory-related forms (accident report form, equipment and refrigerators monitoring form, waste disposal forms).

Supervising and monitoring the updating of equipment in student laboratories and providing necessary maintenance and ensuring cleanliness.

Providing means of education and learning in the labs.

Preparing informative booklets containing policies, regulations, and systems ensuring safety in the labs.

Organizing periodic training courses on lab safety for faculty members and students.

Monitoring the disposal of chemical and biological waste from the labs.

Raising awareness and preparing and distributing guidance materials for students on safety procedures at the beginning of the academic year.

Placing signs with security and safety procedures in designated areas for each lab and emergency contact numbers.

Conducting an inventory of lab equipment and contents at the end of each semester and monitoring the lab inventory of consumed and unconsumed tools, equipment, and other supplies.

Supervising the cleanliness and organization of department labs and observing the use of lab materials, equipment, and models.

Securing consumed materials, chemicals, glassware, and specialized tools.

Reporting deficiencies and lab needs and submitting them to the department chair/dean.

Periodically following up on the committee's work plan, submitting reports to the lab supervisor.

Submitting a quarterly report to the department chair/dean on the committee's work, including proposals to improve the committee's operations.

Purchasing and Warehousing Committee

Committee Responsibilities:

Inventorying supplies for practical courses, including solutions and equipment, and submitting them to the department chair/dean.

Initiating direct purchases for the department's needs and other supplies and submitting them to the department chair/dean.

Analyzing proposals submitted by companies, coordinating with faculty members, and forwarding them to the college's purchasing committee.

Receiving department requests and notifying faculty members, documenting the receipt process.

Inventorying the contents of department warehouses and reporting the needs.

Maintaining continuous communication with the university's central warehouse to meet the needs of faculty members.

 

Strategic Planning and Monitoring Committee

Committee Responsibilities:

Developing a strategic plan for the department.

Monitoring projects within the strategic plan.

Compiling an annual report on the achievements made through the plan.

Measuring performance indicators related to the strategic plan.

Assessing the annual percentage of goal achievement in the plan.

Studying unforeseen variables and creating a risk management plan.
