Academic Advising
Important Student Guidance
Guidance from the College of Applied Medical Sciences Academic Advising Unit on registration, withdrawal, attendance, and examinations.
Registration and Class Schedules
◆Students may defer their studies before the end of the first week of classes. Deferral must not exceed two consecutive semesters or three nonconsecutive semesters throughout their time at the university.
◆After withdrawal from a previous semester, the next semester's class schedule may not appear automatically. Students must register manually or through the Student Affairs Unit. If a schedule appears automatically, students must review it from the start of registration to avoid its removal from the system.
◆To change the class schedule at the start of each semester, use the online portal during the designated periods. If this is not possible, submit an electronic schedule change request through the online portal (edugate.ksu.edu.sa) during the periods shown at the start of registration. Resolving registration issues in the first week helps students attend promptly and avoid academic difficulties.
◆Follow the courses registered in the academic portal. Consult the academic advisor in the first week of classes before adding or dropping courses. Observe the minimum course load of 12 credits and maximum of 20 credits according to the cumulative GPA, with exceptions for graduating students under Article Twenty-Four of the Academic Affairs Regulations.
◆Do not register for higher-level courses without consulting the academic advisor. Students are responsible for any academic problems resulting from doing so.
◆Students experiencing academic difficulties must contact their advisor during the first week of classes if no class schedule appears in the portal, to avoid delays in registration and attendance.
◆For general education courses (Islamic Culture and Arabic), register in sections designated for the College of Applied Medical Sciences. Students who register in other colleges' sections are responsible for any subsequent midterm examination conflicts. Attend the classrooms listed in the portal when sections are shared with another college.
Withdrawal Rules
◆Students may withdraw from up to two courses in a semester, with a maximum of 4 course withdrawals throughout their time at the university. Withdrawal procedures must be completed before final examinations, according to the dates set by the Deanship of Admission and Registration. Students are advised to consult their academic advisor before applying.
◆Course withdrawal requests are submitted through the academic portal and processed electronically by the Student Affairs Unit. Continue attending the course until the withdrawal code (ع) appears, confirming acceptance of the request.
◆Students may withdraw from a semester at least two weeks before final examinations, with a maximum of 3 nonconsecutive semester withdrawals throughout their time at the university.
Attendance and Absence
◆Attend theoretical and practical classes from the first day, as absence is counted from the first lecture.
◆Absences from theoretical and practical classes count whether excused or unexcused. Students whose attendance is below 75% of the course's total classes by the end of the semester are listed as ineligible to take that course's final examination.
Midterm Examinations
◆If absent from a midterm examination, submit the medical or other excuse and complete a make-up midterm examination form with the academic advisor within 3 days of the examination.
◆The academic advisor sends the excuse and form to the course instructor to arrange a make-up examination within two weeks of the missed midterm examination.
General Guidance
◆Update personal information and contact details through the online portal whenever they change.
◆Activate and regularly check the university email account, the official means of communication with faculty and academic advisors. Students are responsible for reading circulars and guidance related to courses and academic advising.
◆Respect faculty privacy. Do not make audio or video recordings of classes, or copy and distribute them to people outside the course, without prior agreement.
◆For an academic complaint about a course or instructor, follow this sequence: course instructor, Academic Advising, department vice chair (department chair), then the college vice dean for Academic Affairs.
◆Keep classrooms and laboratories clean and switch off equipment after use.
◆Wear the college uniform of navy scrubs and a long white laboratory coat on campus, during hospital field visits, and in examinations. Female students may not wear the abaya during working hours or examinations. Modest dress must be observed in areas shared with male department staff.
◆Carry the university ID at all times and present it to security staff when entering the university.
◆Before joining extracurricular activities on or off campus, request an excused absence from the instructor of any class that overlaps with the activity. If the excuse is not accepted, the absence will be counted.
◆Use the courses offered by the Deanship of Skills Development by registering on its website, as well as workshops from the Guidance and Counseling Center and the Academic Advising Unit.
◆Proficiency in spoken and written English is an essential study requirement. Students with difficulties should work to improve their language skills.
◆Respect intellectual property rights in all submitted curricular and extracurricular work. Consult the course instructor and confirm the permitted similarity percentage to avoid plagiarism.
Regulations and Forms
The make-up midterm examination form and advising meeting form are available from the academic advisor.
